Cashbox started with a friend who produces events. Every summer looked the same: the budget lived in a spreadsheet only one person understood, receipts arrived as photos in three different WhatsApp groups, and nobody knew whether the festival had made money until weeks after the stage came down.
So we built Cashbox: the finance side of every event, live, for the whole team. It’s made for festival and event production companies, not weddings or office parties.
What it does:
Budget against actual, while the event is still running. Every category, every festival, on one dashboard.
Contracts before invoices. An artist deal with a deposit now and the balance on show day counts against the budget from the day you sign, with a reminder before each payment is due.
Receipts from the phone. Snap it at the bar at 2am; AI suggests the supplier, date, total and VAT, and a person confirms. It even works with no signal backstage.
Approvals that check the budget. Small spend goes through automatically; anything bigger waits for someone who can see what’s left in that budget line before saying yes.
Every currency, fixed. A London agency paid in pounds in March still shows the same number in December.
Festivals that come back every year. Compare editions side by side, then start next year’s budget from what actually happened.
A clean handoff to your accountant. One ZIP per month or per event: every line with its account and VAT codes, and the invoices attached.
A few honest notes: we’re a small team, your data is stored in the EU, Cashbox is in seven languages, and it doesn’t replace your accounting software. It’s where you run and settle the show.
There’s a 15-day free trial with no card required, and plans start at €39/month. Closed events don’t count toward your plan, so a quiet February doesn’t cost the same as August.
